Planning & Readiness

1. Define Use Cases Start by identifying how Legal will use Copilot. Common scenarios: • Drafting or reviewing contracts and NDAs in Word • Summarizing email threads in Outlook • Generating case summaries or legal memos • Analyzing Teams chats for discovery or communication logs • Drafting internal policy documentation
2. Assemble the Implementation Team Include: • Legal operations leader • IT & Microsoft 365 administrators • Security/compliance officer • Copilot champion (someone who will lead user feedback and training)
3. Eligibility and Licensing • Ensure users have: o Microsoft 365 E3 or E5 + Copilot for Microsoft 365 license • Confirm tenant is in supported geography and has Microsoft 365 Apps for Enterprise (latest) installed

Data Security & Compliance Setup 4. Audit Access & Permissions • Review content in: o SharePoint legal team site o OneDrive legal folders o Legal mailbox/shared mailboxes • Ensure only legal staff have access to sensitive materials • Clean up over-permissioned files/folders 5. Implement Sensitivity Labels (MIP) • Use Microsoft Purview to define labels like: o “Attorney-Client Privileged” o “Confidential - Legal” o “Public” • Apply automatic labeling to documents via policies 6. Apply Data Loss Prevention (DLP) • Create DLP rules for legal content: o Prevent sharing of PII, court documents, contracts • Scope DLP to: o Email, Teams, SharePoint, OneDrive 7. Review Information Barriers (if applicable) • If your org uses IBs (e.g., to separate Legal from HR, Finance), confirm that Copilot respects those boundaries

📍 PHASE 3: Enablement & Rollout 8. Select Pilot Users (Legal team) • Choose 3–10 attorneys and paralegals for testing • Confirm their Microsoft 365 and Copilot setup • Monitor how Copilot responds to real legal use cases 9. User Enablement • Provide short training: o How to prompt Copilot for legal tasks (e.g., “Summarize this agreement”) o When not to use Copilot (e.g., live client data, unpublished legal opinions) • Share examples of good Copilot prompts for Legal 10. Monitor Usage and Feedback • Collect feedback on: o Accuracy of Copilot in legal drafting o Trust level with sensitive information o Workflow improvements vs. manual work

Governance and Expansion 11. Establish Responsible AI & Content Guidelines • Draft internal policy on: o How Copilot-generated content should be validated o Avoiding over-reliance for legal interpretations 12. Audit Logs and Oversight • Enable Microsoft Purview Audit Premium for tracking: o Who accessed what files via Copilot o When summaries or drafts were generated • Review access logs periodically 13. Scale Across Legal • Expand Copilot use to: o Compliance o Investigations o Policy/legal risk management
