Recruitment PreCheck is an AI-powered pre-screening layer built on Microsoft Azure that brings speed, consistency, and compliance to high-volume hiring. It combines Microsoft Copilot Studio, Azure AI services, and Azure storage to automate candidate document checks end-to-end and integrate seamlessly with SAP HR and Microsoft Teams.
In large-scale retail and similar industries, every delay or error in pre-checking candidate documents slows down hiring and increases the risk of non-compliance. With Recruitment PreCheck, our professional services team helps customers get started with and extend their use of Microsoft Azure by designing, configuring, and operationalizing an automated, Azure-based pre-check process that scales to tens of thousands of candidates annually across stores, warehouses, and corporate locations.
How the service works
The engagement starts with an Azure architecture and process design tailored to the customer’s HR, legal, and IT landscape. Together with the customer, we assess existing recruitment flows, document types, country-specific regulations, and SAP HR configuration. Based on this, we design a target operating model on Azure that defines where documents are stored, how they are validated, who is notified, and how results are written back to HR systems.
Candidates upload their required documents into a secure Azure-backed repository (for example, Azure Blob Storage exposed through existing portals or HR front-ends). Each upload automatically triggers a Copilot Studio flow. Every candidate is routed through the same standardized workflow, ensuring consistent application of policies across business units, brands, and geographies.
Copilot Studio orchestrates the validation logic and calls Azure AI document services to:
- Verify the presence of required documents (for example, CV, criminal record, medical/health reports, work permits, and local compliance forms).
- Check file types, formats, and basic quality thresholds to prevent unreadable content entering the process.
- Use AI-based classification and extraction to detect anomalies such as missing signatures, expired dates, inconsistent personal information, or incomplete pages.
If documents are missing, invalid, or inconsistent, the workflow is automatically reset and the candidate’s application is flagged for follow-up. HR teams receive structured notifications via Microsoft Teams channels or chats, including a clear summary of what is missing, links to the affected candidate, and recommended next actions. This enables real-time visibility across HR, store managers, and regional teams, and removes the need to chase information via email or spreadsheets.
Once all documents are complete and validated, Copilot Studio writes the results and extracted key fields directly into SAP HR tables through a secure, bi-directional integration. This eliminates manual data entry, standardizes records across locations, and keeps corporate data audit-ready end to end. The solution is designed around blob-triggered automation, Azure Functions or Logic Apps, and robust error handling, providing a scalable backbone that can handle seasonal hiring peaks without performance degradation.
